Privacy Policy
This page explains in plain terms how ProofPay handles your information. It is a summary of our practices, not legal advice.
What we collect
Account details you provide (name, email, company details), the project data you enter (projects, contracts, site instructions, variations, evidence, invoices), files you upload, and basic technical logs needed to operate the service. Payment details are handled by our payment processor — we do not store card numbers.
How we use it
To provide the service: storing your project records, generating client approval links, processing subscriptions and providing support. We do not sell your data.
Client approval links
When you send a variation for approval, the recipient can view that variation and its attached information without an account. Their name, company and approval decision are recorded against the variation.
Storage and access
Data is stored in our managed cloud database and private file storage. Access is restricted to your company through server-side access controls, and uploaded files are served through short-lived signed links.
Retention and deletion
We keep your data while your account is active. You can delete your account from Settings, which removes your account and cancels any active subscription. Contact us if you need confirmation of deletion.
Your rights
You can request access to, correction of, or deletion of your personal data by contacting us at support@proof-pay.tech.
Changes
If this policy changes materially we will update this page and, where appropriate, notify account holders by email.
