How to Reduce Variation Disputes
Disputes are rarely about whether the work happened. They are about what was agreed, by whom, and at what price.
Agree the price before the work where you can
An approved price before mobilisation removes the most common argument entirely. Where programme pressure makes that impossible, at minimum get the instruction acknowledged in writing.
Tie approval to a specific version
If the price changes after approval, the old approval no longer covers it. Re-issue and get fresh approval rather than assuming the original still stands.
Keep one chain of record
Instruction, price, approval, evidence and invoice should all reference the same variation number. Scattered records across WhatsApp, email and paper are what make disputes winnable for the other side.
Submit inside the contract timescales
Many contracts contain notice periods for additional work. A perfectly evidenced variation submitted late can still be rejected on procedure.
