Site Instruction Template
A site instruction is the record of the moment extra work was asked for. Capture it the same day — ideally while you are still standing in front of the work.
What to record
Keep it short but complete.
- Description of what was asked for
- Name and company of the person who requested it
- Date and time
- Location on site (level, room, grid reference)
- Photos of the area before work starts
- Whether the instruction was verbal, written or drawn
Why time and location matter
Disputes usually turn on whether the work was in the original scope. A timestamped photo of the exact location is far harder to argue with than a recollection weeks later.
Next step
Convert the instruction into a priced variation as soon as you can. An unpriced instruction is not yet protected revenue.
